Document library
The document library allows you to save frequently used quotation documents for your organization's users. Documents can be attached to new quotations directly from the library. The document library can be found under My information > Documents.
Document package (bid archive)
The document package for a sent tender/application can be downloaded from the Tenders > Sent section.
The package contains a PDF of the tender and all attachments sent with it.
The tender history can be downloaded from the system at any time.
Task management: Activities
Users can be assigned various activities related to specific requests for quotation, such as reminders to prepare or review a quotation. This is done on the Activities tab of the request for quotation.
The subject, person responsible, and, if necessary, a description and due date are entered for the activity.
The types that can be set for an activity are:
- Task
- Meeting
- Phone call
- Problem
- Other
The priorities that can be set for an activity are:
- Lowest
- Low
- Normal
- High
- Highest
Users can manage their own activities from the list icon at the top of the screen.
The following statuses can be set for activities:
- Open
- Paused
- In progress
- Closed
- Completed
User collaboration on quotes: Read and edit permissions
The person responsible for the quote can define quote-specific edit and read permissions on the "Responsible persons" tab.
Editing rights can be defined as follows:
- All users with the role of offer owner
- Only the person responsible (only the person responsible for the offer can edit the offer)
- Selected users (only the persons selected from the list can edit the offer)
Read permissions can be set as follows:
- All users with the role of offer approver
- Only the person in charge (only the person in charge of the offer can view the offer)
- Selected users (only persons selected from the list can view the offer)
User roles:
Basic user (unlimited amount)
- Ability to search and view calls for tender
- Access to Summary tab
- Summary, publication documents
- Questions and answers
- The basic user can ask questions about the tender he has opened, but the basic user cannot edit or submit tenders (cannot submit questions about tenders opened by others)
- Response to ESPD eligibility check requests
- The basic user cannot:
- edit or send offers/applications
- change the person responsible for the bid/application
Admin user (unlimited amount)
- Ability to search and view calls for tenders
- Access to Summary tab
- Summary, publication documents
- Questions and answers
- The administrator can ask questions on a tender by tender basis, but cannot edit or submit tenders
- The lead user can change the person responsible for the tender he has opened
- The administrator cannot:
- edit or submit tenders/applications
Tender owner (unlimited amount)
- Tender owner role is defined as the person responsible for the submission of bids
- Tender owner can edit and submit bids/applications
- Manage questions, invitations and ESPD eligibility requests
- Review submitted bids
- Participate in active auctions
- Manage your organisation's ESPD profile (in the My profile section)
Tender acceptor (unlimited amount)
- Ability to search and view calls for tenders:
- Access to Summary tab
- Summary, publication documents
- Access to Summary tab
- Questions and answers
- The tender acceptor can ask questions about the tender they has opened, but cannot edit or submit tenders
- Preview pending tenders from the Sending page by opening a tender for editing or by going to My profile -> Tenders
- The acceptor cannot:
- Edit or send bids/applications
- Change the person responsible for the bid/application
Contract Manager (unlimited amount)
- Ability to search and view calls for tenders
- Access to Summary tab
- Summary, publication documents
- Questions and answers
- Access to Summary tab
- Contract manager can manage the contract list of an organisation
- Commission reporting is done through a user with this role
- A contract manager cannot:
- Edit or send tenders/applications
- Change the person responsible for a tender/application
Roles are updated in the User Management by the Admin user.
